Getting started with MeePlan: the 10-minute guide

You just created your MeePlan account and wonder where to start? Good news: everything is designed so you can be up and running in minutes. This guide takes you from creating your workspace to your first well-organized week, including the small details that save a lot of time.1. Understand the three building blocks of MeePlan
Before creating anything, remember three words.
- The workspace is your main container. You name it when you sign up: "My planner", "Nova Agency", "Family"… everything you create afterwards lives inside it.
- The client (or "account") is a person or company you work for: Orange, Start, Meezaria… It is optional: a task can exist without a client.
- The task is the unit of work. It has a title, a priority, a status and a deadline, and can receive steps, comments and attachments.
Working alone? Ignore clients and simply use the workspace and tasks. Managing several clients? They will serve as a filter and a dedicated view.
2. Set the essentials in Settings
Take two minutes in Settings before you start. There you will find:
- your workspace statuses: To Do, In Progress and Done by default, which you can rename or extend;
- labels: a label is made of a group (for example "Campaign") and types ("Setup", "Optimization", "Monitoring"). Colors come from a palette so everything stays readable;
- the clients of your workspace;
- your reminders: how long before the deadline you want to be notified, and whether you want an email.
You can change everything later: don't aim for perfection on the first try.
3. Create your first task
Click the "New task" button, to the right of the list title. A window opens and everything is visible right away: no hidden option to hunt for.
The fields to know
- The name, short and clear. Start with a verb: "Send the quote", "Prepare the meeting".
- The priority: Critical, High, Medium or Low.
- The deadline: pick the day in the calendar, then the time on the round clock. A task with a precise time is a task you won't forget.
- The client, the label and the status, if you use them.
- The note: a free field for context, useful links and instructions.
- The steps: to break a task into small checkboxes. Double-click "Add a step", type, press Enter, and move on to the next one.
AttachmentsAdd files (5 MB maximum each) or simply links to Google Drive, Notion or any other tool. Your documents stay where they already are, and the task points to them.
4. Tasks that come back: recurrence
An invoice to send every month, a team check-in every Monday, a quarterly review: no need to recreate the task each time. Choose a repeat (every day, week, month or year) or the "Custom" option for finer rules: every two days, certain days of the week, a specific day of the month, ending after N times or on a given date.
The handy part: the next occurrence is created automatically when you complete the current task. In the calendar, upcoming dates appear dotted, and you can skip an occurrence (during your vacation, for example) without breaking the series.
5. Pick the view that suits you
One list of tasks, four ways to look at it. The icons to the right of the filters let you switch, and MeePlan remembers your choice.
- The list, classic and dense, perfect for sorting and acting in bulk: tick several tasks and change their status, priority, client or deadline in one go.
- The Kanban board, with one column per status. Drag and drop a card to move it forward.
- The by-client view, with one column per client, to see at a glance where each one stands.
- The calendar, by month, week or day. Move a task with the mouse to change its deadline.
On a phone or tablet, a "⋯" button replaces drag and drop and offers "Move to…".
The period bar
Above the list, choose Today, This week or This month. Overdue tasks stay visible, and the tab counters (To Do, In Progress, Overdue) follow the chosen period. Every morning, one look at "Today" and you know what to do.
6. Work as a team
On the Members page, invite your colleagues by email and choose their role: admin or member. They receive a link valid for seven days. The table shows whether the invitation is sent, opened, accepted or declined, and you can resend or cancel it.
Once the team is in place:
- a task can be assigned to several people;
- each task has its own comment thread, visible to all members;
- type @ in a comment to mention a colleague: they get a notification in the app (the bell at the top) and an email;
- the "Activity" block keeps the history: who changed what, and when.
The creator of the workspace remains its owner: they cannot be removed by mistake, and can transfer ownership to another admin if needed.
7. Track progress: Dashboard and Report
The Dashboard sums up your activity in charts: tasks by status, by priority, by client, with percentages. The Report page goes further: choose a period, filter by client or priority, then export everything to an Excel file, with the label group and type in separate columns. Ideal for preparing a status update or billing.
8. Reminders, so nothing slips through
In Settings, choose how long before the deadline you want to be notified and turn on email reminders. Combined with deadlines that have a precise time, it is the best remedy against forgetting.
Your first week, in five moves
- Create your workspace and add your first clients.
- Enter five real tasks, with a deadline and a priority.
- Turn one repetitive task into a recurring task.
- Try the Kanban view, then the calendar, and keep the one that suits you.
- Invite a colleague and mention them in a comment.
After a week, you will know whether MeePlan fits the way you work, and you will already have saved time.
